1. Agreement to Terms

These Terms of Service govern your use of the AirCon Docs platform, operated by DNO Renewables Ltd (Company No. 15929837). By creating an account or using our services, you agree to be bound by these terms.

2. Our Services

AirCon Docs provides compliance documentation services for UK air conditioning installers. You submit installation details through our platform and we prepare compliance documentation packs including F-Gas records, commissioning certificates and handover documentation. Domestic packs are charged at £50 + VAT and commercial packs at £75 + VAT, invoiced after submission.

3. Your Responsibilities

• You must be an F-Gas certified installer or authorised representative to use this service.
• You are responsible for the accuracy of all information you submit through the project form.
• You must ensure you have the necessary permissions to share any customer data you provide.
• You must keep your account credentials secure and not share them with others.
• You must not use the platform for any unlawful or fraudulent purpose.

4. Payments

Each documentation pack is charged at the prevailing rate (currently £50 + VAT for domestic, £75 + VAT for commercial). Invoices are issued after project submission and are payable within 14 days. We reserve the right to withhold completed packs until payment is received in full.

5. Documentation Accuracy

We prepare documentation based solely on the information you provide. We do not verify the accuracy of site measurements, equipment details or compliance certifications. You remain responsible for ensuring all submitted data is accurate and that your installations comply with applicable F-Gas regulations and industry standards.

6. Intellectual Property

The documentation templates, formats and content created by AirCon Docs remain our intellectual property. You receive a licence to use the completed documentation packs for the specific installation they were prepared for, including sharing them with your customer and retaining them for compliance records.

7. Data and Privacy

Your use of the platform is governed by our Privacy Policy. You retain ownership of all project data you submit. We process and store it to provide our services and meet our regulatory obligations.

8. Limitation of Liability

AirCon Docs is not liable for any losses arising from inaccurate information you provide, non-compliant installations, or decisions made based on the documentation we prepare. Our liability is limited to the fee paid for the specific documentation pack in question. We are not liable for indirect or consequential losses.

9. Account Termination

You may close your account at any time. We reserve the right to suspend or terminate accounts that breach these terms or are inactive for extended periods. Upon termination, we will retain project data for the period required by F-Gas regulations before deletion.

10. Changes to Terms

We may update these terms from time to time. We will notify you of significant changes by email or through the platform. Continued use of the service after changes take effect constitutes acceptance of the updated terms.

11. Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
